Digital Mail for Business: How Scanning Works
Digital mail scanning: your business letters arrive in Vienna, get scanned and reach you anywhere. Unlimited scans from 79 EUR per month with Plus.

A digital mailroom works like this: your business mail arrives at a fixed Vienna address, gets scanned and reaches you wherever you work, on the same screen as your email. With 1010 Works, unlimited scanning is included from the Plus plan at 79 EUR per month plus VAT with annual billing, and the originals stay at Seitenstettengasse 5/37, 1010 Vienna for pickup seven days a week. The mailbox becomes a process that runs without your presence. Last updated June 2026.
How does business mail scanning work?
Four steps: mail arrives at the business address, it is opened, scanned and delivered to you digitally, and the original is stored. In practice:
- You route your business mail to the address, a real physical address rather than a post office box
- Incoming letters are accepted and logged
- The content is scanned and delivered to you digitally
- The original stays on site, available for pickup any day of the week
The point is that you see the content, not just the envelope: invoices, official notices, contract documents. You can act on the day the letter arrives, whether you are in Vienna, London or Lisbon.
What does digital mail cost in Vienna?
Unlimited scanning starts at 79 EUR per month with annual billing, or 89 EUR monthly, plus VAT, as part of the Plus plan. The three plans at a glance:
- Basic, 49 or 59 EUR: business address with mail acceptance and self-pickup seven days a week
- Plus, 79 or 89 EUR: adds unlimited scanning of all your business mail
- Premium, 129 or 149 EUR: adds RSb registered mail acceptance under postal power of attorney, EU-wide forwarding and 4 hours of meeting room use per month
Every plan is cancellable monthly, and there is no per-scan billing from Plus upwards. The full feature comparison is on the pricing page.
Who benefits most from a digital mailroom?
Anyone who is not at the company address every day: distributed teams, frequent travellers, solo founders without an office and international entrepreneurs running an Austrian company from abroad. Typical setups:
- Remote-first companies whose team works across cities or countries
- Consultants who spend weeks on client sites
- Non-resident founders who need Austrian mail without an Austrian apartment
- Companies in transition between offices that cannot afford a mail gap
What these cases share: mail must not wait for someone to stand in front of a letterbox. Combined with a virtual office in Vienna, digital mail turns a first-district address into a complete location without renting office space.
What happens to the original letters?
They stay at the location and can be collected seven days a week, and Premium customers can have them forwarded anywhere in the EU. For day-to-day work the scan is usually all you need, so most customers collect originals in batches when they are in the city anyway. Documents that matter physically, such as contracts with original signatures or paperwork for your accountant, are picked up or forwarded. The result is a simple split: digital for speed, physical for the few documents that genuinely require it.
Which mail can a scanning service not handle?
RSa letters, the strictest class of Austrian official mail: they must be delivered to the recipient in person, and no service provider may ever accept them, with or without power of attorney. If the carrier does not find you, the letter is deposited at the post office and counts as delivered once the pickup period starts. A serious provider tells you this upfront instead of promising the impossible.
RSb letters are the opposite case: they may be accepted under postal power of attorney, which 1010 Works includes in the Premium plan at 129 EUR per month with annual billing. That covers the deadline-driven official mail an Austrian company receives.
Conclusion
Digital mail replaces the trip to the letterbox with a process: acceptance at a real address in Vienna's first district, unlimited scans from 79 EUR per month, originals available seven days a week, and with Premium also RSb acceptance and EU-wide forwarding. It works for a solo founder just as well as for a distributed team. Mail forwarding and scanning from Vienna starts without a setup project: choose a plan, use the address, read your mail anywhere, cancel monthly.
